  • Overview and Responsibilities

    Thie Executive Assistant will provide administrative support to a team of Industrial Relations and Production Safety executives and will be involved in supporting the work entailed in building databases, collecting and processing data and reports, and analyzing the impact of proposals for labor negotiations.

    • Perform administrative duties such as filing, typing, maintaining calendars, distributing and copying documents, screening and responding to incoming calls and correspondence
    • Coordinate meetings and conference calls for multiple executives and book conference rooms
    • Arrange extensive detailed travel plans and itineraries for multiple executives
    • Track weekly worklists for features and television programs for submission to DGA
    • Maintain department information systems
    • Maintain various databases
    • Maintain and update union grievance log
    • Generate expense reports for multiple executives
    • Process I-9s
    • Proof and edit monthly distribution and documents as needed
    • Prepare harassment prevention training material for training sessions
    • Maintain project assignment distributions for features and television programs
    • Assist in preparation for negotiations, including creating charts, summaries and gathering data
    • Distribute quarterly earnings reports to various unions and guilds
    • Maintain legal files of current litigation matters
    • Assist with large distribution of contracts/agreements for business partners
    • Collect data and submit reports for various unions and internal use
    • Assist in the preparing PowerPoint presentations in support of various initiatives

    Basic Qualifications

    • 3+years related experience
    • Experience and proficiency with Word, Excel, and internet software

    Additional Qualifications

    • Bachelor’s degree in Industrial/Labor Relations, Business, Human Resources, Statistics or a related discipline.
    • Business minded, strategic thinking, detail oriented
    • Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external individuals and groups and senior management
    • Entertainment industry experience a plus
    • Ability to prioritize, manage, and execute multiple projects, and work under pressure
    • Resourceful, self-starting and demonstrated problem solving and critical thinking skills
    • Outstanding common sense in solving problems, and creativeness in achieving objectives
    • Strong presentation skills, interpersonal skills and a team player
