Overview and Responsibilities

This position is responsible for assisting in the preparation of all executive work product supporting a Vice President in Paramount’s New York office.  The assistant will also lend department support and aid in the overall execution of publicity campaigns.

 Responsibilities to include, but not limited to:

  • Answers phones, rolls calls, schedules appointments/confirms meetings/maintains daily schedules, photocopies material, facsimile/e-mail distribution and routes incoming and outgoing mail that may include large lists 
  • Responsible for vetting, interviewing and hiring interns, while overseeing their work
  • Composes and generates letters, memos and other documents
  • Generates expense reports
  • Manages travel arrangements
  • Liaises with internal departments and external entities as needed
  • Creates and maintains files
  • Researches and circulates movie-project press breaks on a day-to-day basis
  • Ships materials to press outlets
  • Assists hosting at premieres and other special events
  • Covers New York press screenings for Awards department 
  • Manages office library of periodicals; maintains subscriptions for the department
  • Plans and executes film related press mailings
  • Maintains press database in Filemaker Pro
  • Covers screenings and generates screening reports as requested
  • Takes on special projects as requested (research, developing specialty press lists etc)
  • Updates and circulates press contact lists for LA blasts monthly
  • Creates invites, coordinates sending them out for all media screenings, and maintains that RSVP list
  • Maintains the amplification toolkit with numbers including circulation/UMVs/social numbers, to be updated every three months.

Basic Qualifications

  • Bachelor's Degree or equivalent work experience required
  • Must be proficient with Word, Excel and Power Point
  • Minimum 1+ years of experience in marketing/advertising/entertainment industry, or an equivalent of job-related internships
