Overview and Responsibilities

This position is responsible for providing administrative support to the Executive Vice President of Worldwide Distribution-Home Media Entertainment.

Responsibilities to include, but not limited to:
*Maintain & circulate agendas for department meetings
*Take departmental minutes & circulate as instructed
*Maintain incoming & outgoing departmental faxes
*Book travel for EVP
*Maintain and submit expense reports for EVP according to PPC policies
*Oversee gate passes to ensure visitors are granted access as needed
*Create memorandums and distribution lists as instructed
*Update files for EVP
*Maintain phone log of incoming & outgoing calls
*Coordinate conference room requests & bookings
*Schedule, track & update meeting requests for department including video & tele-conferences.
*Maintain department contact information and distribute regularly
*Maintain vacation requests, as approved by supervisor

*Diary and inbox management

*Prepare detailed reports as requested by supervisor
*Help EVP and department prepare materials for various meetings/events

Basic Qualifications

* Bachelor’s Degree or equivalent work experience required

*Minimum 2 years related experience preferred
*Proficient with Word, Excel, PowerPoint and internet software

Desired skills:
*Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external customers and senior management
*Organized and detail oriented with the ability to manage multiple high priorities and have the ability to appropriately prioritize work and proactively anticipate and manage time
*Familiar with a variety of industry concepts, practices, and procedures

*Some C suite exposure/experience preferred
